Job Overview
The Procurement Officer will be responsible for managing the sourcing, procurement, and acquisition of goods, services, and works in line with company procurement policies and compliance standards. Key Job Responsibilities (JD)
1. Procurement Planning & Execution
- Assist in preparing and implementing annual procurement and purchasing plans
- Source, assess, and evaluate suppliers based on pricing, quality, lead time, and reliability
- Prepare and issue Request for Quotations (RFQs), Request for Proposals (RFPs), and Purchase Orders (POs)
- Ensure procurement activities comply with organizational procurement procedures and legal requirements
- Support strategic sourcing initiatives for operational efficiency and cost reduction
2. Supplier & Vendor Management
- Maintain and regularly update supplier and vendor databases
- Conduct supplier evaluations and performance monitoring
- Negotiate pricing, payment terms, service agreements, and delivery schedules
- Build strong professional relationships with suppliers and service providers
- Resolve vendor-related issues and support dispute management where necessary
3. Contract Management
- Draft, review, and monitor procurement contracts and agreements
- Track supplier compliance and contract obligations
- Coordinate renewals, amendments, and supplier performance reviews
- Ensure procurement contracts align with company procurement guidelines
4. Cost Control & Quality Assurance
- Analyze market pricing trends to improve procurement cost efficiency
- Conduct supplier benchmarking and market analysis exercises
- Ensure procured goods and services meet required technical and quality standards
- Support initiatives for cost savings and operational improvements
5. Documentation & Reporting
- Maintain accurate procurement records and purchasing documentation
- Prepare procurement performance reports for management review
- Assist during internal and external procurement audits
- Ensure complete filing of procurement and contract records
6. Compliance, Ethics & Safety
- Ensure transparent procurement processes aligned with ethical procurement practices
- Promote compliance with anti-corruption, environmental, and workplace safety standards
